Data Retention Policy for CSV file import data

We strive for our data retention policy be a positivie cornerstone of doing business with EasyCSV. If you have any questions, please reach out to support@easycsv.io

When an import happens with a CSV file, EasyCSV parses the file and starts to do the import. The data is stored for these moments of waiting for the import job to start. The CSV data is fully encrypted at this point and will stay that way till deletion.

EasyCSV then removes any records according to filtering specified, removes any invalid rows according to validations specified, then posts the data to the destination specified via the import page settings.

As soon as the data is posted to where it needs to go we delete all record of it. The only long-lived data stored about import is displayed in the helpful log table at the bottom of the import page. This is to help your team debug and track imports. The long-lived log data does NOT include any row data from the original CSV file.

EasyCSV also has safety fallback processes where any CSV file record data that is more than 10 minutes old is automatically destroyed. This is a data deletion safety feature in case of system failure.

If some records fail posting to the data destination, EasyCSV creates a failed record CSV with reasons why the rows failed. This helps the person importing easily fix and re-upload that data to complete importing all data if desired. The failed record CSV file is attached to an email sent to the person who attempted the CSV file import. If the failed record CSV is not something desired for your account please contact support@easycsv.io to turn off the feature off.

Please read the data retention policies of the import destination for your CSV file data (for example: Zapier, Google Sheets, etc...). They will have their own policies and information.

Data Retention Principles EasyCSV Follows
  1. EasyCSV will NOT hold data longer than the minimum time it takes to process it.
  2. EasyCSV WILL destroy data when done processing it.
  3. EasyCSV WILL encrypt all data that has the potential to be sensitive.
  4. EasyCSV WILL delete any data requested by any person who has right to have that data deleted (examples: Your account data, left over metadata in the import log for imports, etc...).
  5. EasyCSV will NOT log any CSV file row/record import data unless requested by the account owner for debugging purposes.
Do we disclose any information to outside parties?

No.

Inbound email parsing

EasyCSV uses a 3rd party, SendGrid, that is SOC 2 compliant to help parse incoming email sent to import pages. You can read their security & privacy policy page for data handling and retention specifics. EasyCSV does not receive or store the original email. SendGrid receives the email and sends data parsed from the email to EasyCSV. The inbound email From Email Address, Subject Line, and Email Body (encrypted) are stored for you, as the customer, in EasyCSV to view in your import logs for help in identification and trouble shooting of inbound emails for your import page. Import logs are only visible to EasyCSV account admins you specify for your account. If you, as the customer, don't want from email address, subject line, or email body data stored please contact support@easycsv.io to disable for your account. No other email metadata is stored. Any CSV file data sent along with the email follows our Data Retention Policy for CSV Data described above.
